Your First Steps Toward Studying in Germany

If you are applying from outside Germany, you may need a student visa before starting your M.Sc. program at HECTOR School. This page gives you an overview of the most important visa-related steps, required documents, processing times, and first steps after your arrival in Germany.

Do You Need a Student Visa?

Depending on your nationality, you may need a student visa to enter Germany and study at HECTOR School.

Please check the requirements with the German Embassy or Consulate in your country as early as possible. Visa regulations and required documents may vary depending on your country of residence.

When Should You Start the Visa Process?

You should start preparing your visa documents as early as possible. After receiving your admission letter from HECTOR School, book your visa appointment immediately, as waiting times can be long.

Appointments are usually made at:

• the German Embassy or Consulate in your country
• VFS Global Visa Application Centers, where applicable

Preparing the required documents typically takes around 2–3 weeks. Visa processing itself usually takes around 6–10 weeks, depending on the country and season.

Documents for Your Student Visa Application

For your visa application, you will usually need the following documents:

• National Visa Application form and VIDEX form
• valid passport and photocopies
• biometric photos
• admission letter from HECTOR School / KIT
• APS certificate, if required, e.g. for applicants from India, China or Vietnam
• proof of financial means, e.g. blocked account
• academic certificates and translations
• language certificates, if required
• travel health insurance valid until enrollment
• CV
• motivation letter

Please note that the required proof of financial means may change. Always check the current amount and requirements on the official website of the German Embassy or Consulate responsible for your application.

What Happens During the Visa Appointment?

During your visa appointment, you will usually:

• submit all required documents, including originals and copies
• provide biometric data, such as fingerprints and photo
• answer short questions about your study plans

The appointment itself usually takes around 15–30 minutes. Make sure that your documents are complete to avoid delays in the visa process.

Visa Processing Time

Visa processing usually takes around 6–10 weeks, but processing times may vary depending on your country, the season and the responsible authorities.

During this time:

• the embassy or consulate reviews your documents
• German authorities may also check your application

You should not book a final flight to Germany before your visa has been approved.

After Arriving in Germany

After entering Germany with your student visa, you will need to complete several important steps. Usually, you should complete the following within the first two weeks:

• register your address in Germany, known as “Anmeldung”
• complete your university enrollment
• open a German bank account, if needed
• obtain German health insurance, if not already completed
• apply for your residence permit, “Aufenthaltstitel”, at the local Foreigners’ Office

These steps are important to finalize your legal stay in Germany for the duration of your studies.

Learning German
